Foothill Advisory
Los Altos & the Peninsula

Already using AI or automation? Make sure it is still working for you.

Foothill Advisory audits the phone bots, chat widgets, CRM follow-up, scheduling tools and automations your business already runs. We show you what is outdated, broken or costing you, then upgrade it, maintain it, or build what is missing. You get written findings you keep.

  • Advice first: nothing changes in your tools until you approve it
  • Scoped and priced in writing
  • No client records needed for the audit
For real estate agents

Your next client messaged you. How fast did they hear back?

Agents live on inbound leads, referrals and follow-up. That is exactly where an outdated autoresponder, a CRM nobody maintains or a chat widget that dead-ends quietly costs you business. We audit the tools you already have and show you where AI can help, with you approving everything that reaches a client.

Lead response speed

We test your site forms, portal inquiries, texts and missed calls the way a buyer or seller would, and time the first reply. Then we look at instant, accurate first responses that hand off to you.

CRM follow-up

Stale drip campaigns, leads that never got a second touch, tags nobody uses. We map what your CRM does today and what could be drafted, scheduled and reminded for you.

Listing copy and marketing

Faster first drafts of listing descriptions, social posts and market updates in your voice, with a review step for accuracy and fair-housing-sensitive wording before anything is published.

Scheduling

Showing requests, open-house sign-ups and listing consultations that book themselves, confirm and remind, without the back-and-forth by text.

Chat and voice receptionist

An after-hours web chat or call-answering assistant that handles common questions, captures the lead and routes anything important to you. We check that it says the right things and knows when to hand off.

A plan you keep

The audit ends in a written, prioritized plan: what to keep, fix, replace or add. You decide what happens next, and the report is yours either way.

AI drafts and routes; you stay the agent. We do not send anything to your clients on your behalf without your sign-off, and we will flag where local rules (for example, fair housing and consent for texts and calls) affect how a tool should be set up. This is practical guidance, not legal advice.

What the research says

Fast response and well-used AI show up in the data

Every figure below comes from a published source we read. We show the source, the year and the limits of each study, because these are not promises about your business.

~7×

Firms that contacted a web lead within an hour were nearly seven times as likely to qualify it as firms that waited even one hour longer.

Against firms that waited 24 hours or more, the gap was more than 60 times. Based on 1.25 million leads at 42 U.S. companies. “Qualify” means a meaningful conversation with a key decision maker.

Source: Harvard Business Review, “The Short Life of Online Sales Leads” (Oldroyd, McElheran, Elkington), March 2011. Older study, not specific to real estate.

42 hrs

The average time companies took to answer a web inquiry, among those that answered within 30 days.

In the same audit of 2,241 U.S. companies, 37% replied within an hour, 24% took more than a day and 23% never replied at all.

+30%

New customers who got real-time support (median first reply of about 2 minutes) were 30% more likely to start a trial than a control group answered within about an hour.

The 16-week randomized test also found 15% incremental growth in new-business revenue. It cost the company more to run, which it reports was more than offset.

Source: Intercom, “Driving new revenue: how real-time support improves conversion”, 2018. One software company’s own test, so treat it as directional.

+14%

Customer-support agents with a generative AI assistant resolved 14% more issues per hour on average, and customer sentiment improved.

Study of 5,179 agents at one company. Gains were largest for less experienced agents (34%) and minimal for the most experienced.

Source: Brynjolfsson, Li and Raymond, “Generative AI at Work,” NBER Working Paper 31161, 2023 (published in the Quarterly Journal of Economics, 2025).

5.4%

Workers who used generative AI reported saving an average of 5.4% of their work hours, about 2.2 hours in a 40-hour week.

Self-reported, from a nationally representative U.S. survey of working-age adults in November 2024. Across all workers, including non-users, the saving was 1.4% of hours.

Source: Federal Reserve Bank of St. Louis, “The Impact of Generative AI on Work Productivity” (Bick, Blandin, Deming), February 2025.

75%

Of REALTORS® who use AI, 75% use it to write listing descriptions and 52% to draft emails and follow-ups. Nearly half of all agents (48%) use AI daily or weekly.

NAR also reports that 81% of agents adopt new technology primarily to save time.

Context for small firms: the U.S. Census Bureau’s Business Trends and Outlook Survey found that 19.8% of U.S. businesses used AI as of May 3, 2026, and fewer than 20% of firms with four or fewer employees did (Census Bureau, “Large Firms With at Least 20 Employees Biggest AI Users,” May 26, 2026). These studies come from different industries and years. They show direction, not what any one business will see, and we make no guarantee of results.

Who we help

Real estate first, and other local businesses where speed and follow-up matter

If customers reach you by phone, chat, web form or text, and you already use (or have tried) tools to handle them, the audit applies.

Phone-heavy

Dental and medical practices

Answering bots, chat widgets, online scheduling, reminders and recall. We test them as a new patient would and check what happens after hours. We never need patient records.

Lead-driven

Mortgage brokers and insurance agents

Quote and rate requests go to whoever answers first. We review web-form replies, CRM follow-up and quote-chasing automations for speed, accuracy and dead ends.

First reply wins

Remodel, landscape, pool and other home services

Chat, call-answering, estimating tools and automated follow-up. We look at how quickly and clearly a homeowner hears back, and where leads fall between tools.

Intake

Small law firms

Prospective clients often contact several firms. We review intake forms, chat, call handling and follow-up, and keep clear boundaries around confidential information.

Tenants and owners

Property managers

Leasing inquiries, showing scheduling, maintenance requests and routine tenant questions. We check what is automated, what is answered by a person and what is falling through.

Booking-driven

Med spas and wellness studios

Consult requests, message replies, booking, reminders and rebooking prompts. We test the booking path and review the follow-up that brings clients back.

Relationship-driven

Financial advisors and accountants

Inquiry handling, scheduling, reminders and routine client communication, with extra care around client data and regulated advice. We do not give financial, tax or compliance advice.

Something else?

Other local businesses

If you run an AI or automation tool and are not sure it still works, or you suspect something is missing, tell us what you have. We will say honestly whether an audit would help.

How it works

Three steps, and you stay in control

We inventory what you run

A 45-minute conversation with you and whoever runs your front desk or office: which phone bots, chat widgets, CRMs, scheduling tools and automations you have, who set them up, and where they let you down.

We review how it performs

We test each system as a customer would, check settings, scripts and reports you choose to share, and compare them with what the vendor now offers. We never need patient or client records.

You get a written plan, then you choose

A short report in plain language: what is outdated, broken or costing you, what to update first, and what we would leave alone. Nothing changes until you approve it.

The audit

The Business Audit

A review of the AI and automation you already run, with a prioritized written plan. If something important is missing altogether, the plan says so too.

  • A 45-minute interview with you and your office lead
  • An inventory of the AI and automation tools you use: what each does, who owns it, what it costs per month and what it connects to
  • A test of each customer-facing system as a customer would experience it: calls, chat, online booking, web forms and reply speed
  • A check for outdated settings, scripts and answers (hours, services, pricing, policies), broken or dead-end flows, duplicate or unused subscriptions, and tools your vendor has since improved or replaced
  • A written plan with fixes ranked by effort and expected value to you: keep, update, replace or retire
  • Estimated hours saved, inquiries recovered and monthly cost reduced, with the assumptions behind each number
  • A 30-minute walkthrough of the findings and a Q and A afterward

Who we are

Senior engineers, not a template agency

Foothill Advisory is run by senior engineering leaders with more than 20 years of experience building and operating production software and AI systems. We know what it takes to keep these systems accurate, secure and dependable after the demo, and we explain what we find in plain language.

We are local to the Los Altos and Peninsula area and work with small teams that do not have an engineering department of their own.

  • Production experience. We have built and run real systems, not just configured them.
  • Vendor-neutral advice. The plan starts from what you already run, and says when to leave it alone.
  • Plain-language reports. Written for owners and office leads, not engineers.
  • Careful with data. We ask for settings and scripts, not client records.
FAQ

Common questions

What does the audit cost, and what do I get?

Each engagement is scoped and priced in writing before work begins. You get the interview, a review of the AI and automation tools you already run, a written prioritized plan of what is outdated, broken or costing you, and a walkthrough. See “The audit” above for the full contents.

Can you guarantee more leads or sales?

No. The research above shows that faster response and well-used AI tend to help, but results depend on your business, your market and how the tools are used. We estimate impact in the report and show our assumptions, and we make no guarantees.

What happens to my data and my customers’ data?

We do not ask for patient, client or financial records. To audit tools you already have, we may ask to see settings, scripts, answer text and summary reports. Where you can, share screenshots or read-only access that you set up and can revoke, and leave out customer names and contact details. We use what you share only for your audit and do not share it with others. Your vendors’ own terms still apply to your accounts.

Will you change anything in my systems without my approval?

No. The audit is advice only: we do not edit your phone bots, chat widgets, CRM, scheduling tools or automations during it. Any later upgrade or maintenance is scoped in writing first, and nothing is switched on, sent to your customers or changed in your tools until you have approved it.

Do I need to replace the tools I already have?

Not necessarily. The plan starts from what you already run and says for each tool whether to keep, update, replace or retire it, and names where a new tool would actually pay for itself.

What if my systems were set up by someone else, or I am not sure what I have?

That is common. The first step is an inventory, and we work from what you can show us. If a vendor or the person who built it is still involved, we can work alongside them. If the audit finds nothing worth fixing, we will say so.

Start with the audit. Keep the plan either way.

Tell us what you run today and we will tell you honestly whether an audit makes sense.
